Frequently Asked Questions

Finances

Where do family payments come from?

Every payment you record on an invoice in Billing is added to Finances automatically, labeled as tuition or agency payments. You never enter family payments twice.

Why doesn't my Profit & Loss include unpaid invoices?

KidKeeper counts income when you actually receive it (cash basis), which is how most home and small child care providers file. An invoice shows up as income once a payment is recorded on it.

Does KidKeeper apply the mileage rate?

No. KidKeeper records your business miles, and your tax preparer applies the current rate. That keeps your records accurate even when rates change.

Are receipts included in the Tax Package?

Not yet. Receipts stay attached to each expense in KidKeeper, where you can open them any time. Your preparer gets the totals and the ledger CSV.

I deleted an expense by mistake. Can I get it back?

Not from the app. Add it again with the same details. Deleted entries are kept in the background for your records, but they don’t count in any total.

Why is my time-space % different from last year's?

It changes if your business hours, special hours or square footage changed, or if the year has a different number of weekdays.

Can I see trips for just one vehicle?

Yes. On the Mileage page, use the vehicle filter above the Trips list.

Meals Served

Why don't I see any children on the Meals Served page?

Children only appear if they have a scheduled occurrence for the selected date. Check the Daily Schedule page to confirm the children you expect are scheduled for that day. If a child is missing from the schedule, add them there first and then return to Meals Served.

Schedule

Why does a child appear with an amber bar but no time block?

The child is enrolled and appears on the schedule, but no times have been set for them on this date. Tap their name to open their quick-view, then visit their full profile to add times.
