Why does a child appear with an amber bar but no time block? 

  • The child is enrolled and appears on the schedule, but no times have been added for them on this date. Tap their name to open the Quick-View, then visit their full profile to add times.

Why are there two time blocks for the same child? 

  • Some children have split schedules — for example a morning session and an afternoon pickup. Each block represents a separate time range for that day. Both are part of the same scheduled occurrence.

What happens if I set child hours outside of business hours? 

  • You will see a warning but you can still save. It is your responsibility to confirm the hours make sense for your operation. KidKeeper does not block the save.

Can I edit a child’s times from the Daily Schedule page? 

  • Yes — click anywhere on the child’s row in the grid area to open the scheduling modal where you can add or update time blocks for that child on that date.

The capacity bar is red. What should I do? 

  • A red bar means more children are scheduled than your licensed capacity for that time period. Review the schedule for that window and adjust start or end times as needed. KidKeeper does not automatically prevent overbooking.

I loaded a template but some dates were skipped. Why? 

  • Dates that already have billed time blocks are skipped automatically when a template is loaded. Billed data is never overwritten. If you need to change a billed date, contact support.

Can I apply a template to dates in the past? 

  • You can select past dates when loading a template, but any dates with billed occurrences will be skipped. Applying a template to a past date with unbilled occurrences will overwrite the existing unbilled times.

The i icon is amber. What does that mean? 

  • Amber means special hours have been set for the currently selected date. Your default business and child hours are not in effect for that day. Click the icon to see the exact hours or edit them.

The i icon is teal. What does that mean? 

  • Teal means a schedule template has been applied to the currently selected date.

Why can’t I see allergies or medical notes in the Quick-View? 

  • Allergies and medical information are intentionally hidden from the Quick-View to protect each child’s privacy when the screen may be visible to others nearby. Open the child’s full profile to access that information.

How do I revert a day back to my default hours after setting special hours? 

  • Open the i icon popover, click the hours to open the Special Hours editor, and tap Revert to Default. This will delete the override and your default hours will apply again.

A child shows a purple bar on their row. What does that mean? 

  • A purple bar means the child is flagged as an infant in their profile. Hover over the bar to confirm.

A child shows both an amber and a purple bar. What does that mean? 

  • The child is an infant and also has no times scheduled for this date. The amber bar is always on the far left, and the purple infant bar sits just to the right of it.
