Schedule Templates

What is a Schedule Template?

A Schedule Template is a saved, reusable day schedule. It captures which children and staff are scheduled, their time blocks, and your business and child hours — without being tied to any specific date. Once saved, you can load a template onto any date (or multiple dates at once) from the Daily Schedule page.

Templates are useful for days that follow a predictable pattern, like a typical Monday or a summer schedule.


Creating a Template

There are two ways to create a template:

From scratch:

  1. Go to Schedule → Schedule Templates in the left navigation
  2. Click + New Template
  3. Enter a name and click Create
  4. You’ll be taken to the template editor where you can set hours and add children and staff

From a live schedule date:

  1. Go to the Daily Schedule page
  2. Navigate to the date you want to save
  3. Click the Load Template button in the toolbar
  4. Select Save current day as template
  5. Enter a name and confirm

This captures all children, staff, and their time blocks from that date into a new template instantly.


Editing a Template

From the Schedule Templates page, click any template card to open the template editor.

Name: Click into the Template Name field and type a new name.

Hours: By default, templates use your company’s default business hours. Uncheck Use default hours to set custom hours specific to this template. Enter Business Hours (when your facility is open) and Children Hours (the window children can arrive and depart).

Adding children or staff: Click Add Child or Add Staff to pick from your active enrolled children and staff. They’ll appear as rows in the scheduler below.

Adding time blocks: Click and drag directly on a person’s row in the scheduler to create a time block. Click an existing block to edit or delete it.

Saving: Click Save Changes at the bottom of the hours section to save the template name and hours. Time blocks and people save automatically as you add or remove them.


Loading a Template onto a Date

  1. From the Daily Schedule page, click the Load Template button in the toolbar
  2. Select a template from the dropdown — a preview shows the children, staff, and hours stored in that template
  3. Click one or more dates on the calendar to select them
  4. Click Import

What gets applied:

  • All children and staff from the template are added to each selected date
  • Their time blocks are applied as scheduled hours
  • If the template has custom hours (not default), those are applied as a single-day hours override for each date

What doesn’t get overridden:

  • Any child or staff occurrence that has already been billed will not be touched

Deleting a Template

Open the template from the Schedule Templates page and click Delete in the top-right corner. Confirm when prompted.

Deleting a template only removes the template itself — it has no effect on any schedules that were previously loaded from it.
